The Glen Medical Hub is a brand new, purpose-built, state-of-the-art medical facility on Springvale Road, Glen Waverley. The building houses a general practice with two GPs alongside on-site specialist clinics, a practice nurse and modern consulting and treatment rooms, all designed to a high-end standard. We are opening our doors and need a receptionist who will grow with the practice, step into a senior role, and in time lead the day-to-day running of the front of house.

About the role

You will be the first point of contact for patients, GPs and specialists, working through Best Practice. The practice is supported by an experienced Operations Manager who is on-site regularly and contactable every day for guidance, training and anything that needs a management decision. Your job is to run the desk well, keep the day moving, and feed clean, clear information back so things get actioned quickly.

This is a genuine growth role. The right person will be trained into senior responsibilities, including staff rostering, supplier and stock coordination, and supporting accreditation and compliance, as the Hub expands.

Your day-to-day duties

  • Greeting patients and managing the waiting room
  • Booking, confirming and rescheduling appointments in Best Practice for GPs and specialists
  • Answering phones and managing general enquiries
  • Managing incoming specialist referrals and coordinating with referring GPs
  • Entering and processing billings, including Medicare and private payments, throughout the day
  • Monitoring the practice inbox and forwarding tasks, supplier emails and compliance items to the Operations Manager
  • Preparing consulting rooms and keeping stock and supplies ready for the doctors
  • Handling pathology results, referrals and recall letters as directed
  • Filing and scanning
  • Reporting daily issues, incidents and operational concerns to the Operations Manager
  • Opening and closing the practice, tidying and equipment checks

What we're looking for

  • Experience with Best Practice, a specialist centre or a GP clinic is preferred, but full training is provided for the right applicant
  • Strong communication skills and a professional, calm phone manner
  • Reliable, punctual and committed, with the ambition to grow into a senior role
  • Able to work independently on-site while staying in close contact with the Operations Manager
  • Strong written communication, as much of your day involves passing clear information up the line
  • Discretion with patient information and a warm, respectful presence with patients

What's on offer

This is a full-time position, five days a week with some six-day weeks as the practice grows. Weekend shifts will become available as the Hub expands. You will work in a beautiful new facility with modern systems from day one, with an experienced Operations Manager behind you and a clear path to a senior position.

What happens to what you send us

DocHelp, operated by Jamal Al-Sharifi in Melbourne, collects your name, contact details, your answer about the right to work, your expected pay and when you can work, your answers to the questions above, your letter and your CV, so we can consider you for this role and get back to you. If you would rather not give us these, we cannot consider your application.

They are saved in DocHelp's own database, hosted by Cloudflare, a United States company, which may hold them outside Australia. Only Jamal can open it, through a password and code sign-in. An alert with your name and reference is emailed to us through Resend, a United States company. If that cannot be sent, a short alert with your reference only goes to us through Web3Forms, a third party outside Australia, instead. Your answers are shown to him next to your application. The form notes whether the letter was typed or pasted in. Apart from the right to work question, nothing is rejected automatically. Please do not put anything in your CV or letter about your health, your family situation or your visa status, beyond the right to work question above.

Sending this also gives you an account with DocHelp under your email address. It holds your details and your latest CV, so you can follow your applications, apply again without typing everything and set up job alerts. You sign in with a link we email you. Each link works once: the one in your receipt for 24 hours, one you ask for on the account page for 15 minutes. We email you through Resend: a receipt with a sign-in link, news about your application, and any job alerts you set up. Your account is deleted 12 months after you last use it, and you can delete it yourself at any time from your account page.

Applying is not a job offer, and DocHelp is not the employer. The Glen Medical Hub sees your application only if you tick the box above or say yes when we ask you. We keep applications, CVs included, for twelve months and then delete them. You can ask to see, correct or delete anything we hold, or make a complaint, at [email protected]. Our privacy policy has the rest.

How this works

Who employs you.

Clinics post their own jobs here. You apply to the clinic, and the clinic employs you. I am the middle man introducing you to them.

I do not hire people out and I do not rent people out. Nobody who applies through this site is employed by me, and nothing you send goes to a named practice until you say yes to that practice.

There is no fee to you at any point. Practices pay for skills upkeep across their whole team, not for a hire.

The free training program covers reception, practice management and nursing support. It costs nothing, it is not nationally recognised training, and it runs in Melbourne with some sessions online.
