A team that runs the practice, not the other way around.

In short: DocHelp trains practice managers, receptionists and nurses inside their own medical centre — business, billing optimisation, clinical workflow and software — in Melbourne and remotely across Australia.

Most operational and revenue problems in medical centres come down to staff — not because they don’t care, but because nobody trained them properly. We train reception, nurses and practice managers inside your practice, and we stay until they can run it without us.

The problem

Untrained staff cost more than any consultant.

Every medical centre we walk into has the same story: a receptionist doing the work of three people, a practice manager learning the job in real time, a nurse who hasn’t been formally onboarded in years. Errors compound. Item numbers get missed. Patient experience suffers. Staff burn out. Turnover spikes.

Read the detail

What looks like an “ops problem” is almost always a “training problem”. We fix it at the source — and once the team is running properly, we look at billing accuracy, item-number coding and workflow efficiency to lift revenue without lifting workload.

Roles we train

Every role. Trained properly.

From the front desk to the practice manager running the show, every team member needs to know their role inside out.

Reception

Receptionists

Booking, billing, triage, awkward patient conversations, software workflows, privacy compliance, recalls. The front line of patient experience and the first line of revenue.

Clinical

Practice nurses

Clinical workflows, infection control and reprocessing, cold chain, care plans and health assessments, recall systems, doctor support, documentation standards.

Management

Practice managers

Operations leadership, the business numbers, rostering, HR, compliance ownership, supplier and pathology relationships, doctor relationships, and billing optimisation.

Systems

Software

Hands-on training in Best Practice, Medical Director, Cubiko and HotDoc — setup, everyday use, troubleshooting, and the reports that matter.

Billing optimisation

The revenue is usually already in the building.

Most practices are not short of patients. They are short of billing the work they already do. Our practice manager and reception training includes a structured billing program.

i.

Find it

Cubiko and Best Practice reports to identify unbilled and under-billed items, care plans and health assessments due, and incentive payments missed.

ii.

Fix the workflow

Who identifies the eligible patient, who books it, who bills it, and how it is checked — written into the reception and nurse checklists.

iii.

Train the team

Item numbers and rules explained in plain English to the people who do the booking and billing, with the doctors included where it matters.

iv.

Measure monthly

A one-page monthly billing review the practice manager runs without us, so the improvement sticks.

Common questions

Questions practice owners actually ask.

What does practice manager training cover?

Two halves. The business half: reading the practice’s numbers, doctor pays and service fees, rostering to demand, HR and performance, compliance ownership, supplier and pathology relationships, and running a management meeting. The billing half: Medicare item numbers and the rules behind them, chronic disease management and health assessment workflows, bulk-billing incentives, private fee setting, claiming and rejections, and using Cubiko to find what is being missed. We mentor managers one-on-one inside their own practice, over weeks, not in a classroom.

Can you train a receptionist who has never worked in medical?

Yes, and we do it often. Booking and triage, Medicare and private billing, HotDoc and Best Practice workflows, privacy, handling difficult conversations, recalls and reminders, and the daily and weekly checklists that keep a front desk running. We sit beside them for real shifts.

What does practice nurse training include?

Onboarding into clinical workflows in Best Practice, infection control and reprocessing, cold chain and vaccine management, care plans and health assessments, recall systems, doctor support and documentation standards. It is delivered with your infection control and compliance documentation so what they learn is what the assessor will ask about.

Is the training done on site or remotely?

Mostly on site in Melbourne, because embedding with the team is the point. Remote sessions work well for follow-up, for practices interstate, and for software training. Most programs are a mix.

How is training different from your operations retainer?

Training has an end: the team can do the job without us. The operations retainer is for practices that want senior oversight to continue — management meetings, escalations, quality audits — after the training is done, or instead of a full-time hire.
